THESE TASKS ARE TO SHARED BETWEEN 2 OR 3 PEOPLE DURING EACH SHOW
Preparation for each show: ensure a hard copy or electronic spreadsheet is prepared.
(We have this on an Excel spreadsheet and it is readily available - - just needs checking against the program booklet).
This sheet is used to record the entrants and calculate award values and totals.
Be present for each show date (4/year) at the earliest time designated in the program.
Receives entry forms, assigns a number to each person entering and prepares specimen cards for each item submitted. Counts the number of raffle tickets to be given to the entrant.
When all entries are in place, requests the show volunteers to canvas the floor for classes to be closed (no specimens). Places all the raffle stubs in the box.
After a class is judged, receives the award slip, records the award values in the appropriate entrant column and prepares the award cards (1st, 2nd, 3rd & honorable mention).
Once judging is complete, records the extra values that may be awarded for “Best in Show” items.
Totals each column and allocates the winners according to the trophies to be awarded. Records the winners on a separate document and gives it to the Show Convenor.
